If you receive a donation via check or cash outside of the SeeMyLegacy platform, you can manually record it in your profile. This helps ensure all contributions, no matter how they were received, are tracked in one centralized place.
By recording offline donations, you’ll maintain a complete and accurate view of your Campaign’s participants and financial progress.

How to Record a Cash or Check Payment
1. Select the Related SeeMyLegacy Item
- Every cash or check contribution you record must be linked to an existing Item in your SeeMyLegacy profile. Start by selecting the specific Item that corresponds to the contribution.
- If no related Item exists, you can create a new Available Item to represent the donation. Once created, you’ll be able to record the payment directly on that new Item.
- Note: You can choose to keep the Item private so it’s not visible to the public.

2. Select Record Payment
- Click the “Record Payment” button to begin logging the offline donation.
3. Input Participant's Contact Information, Amount, Payment Method, and Payment Details
- Fill out the form with the participant’s information and payment details.
- Use the Details field to note any additional context - such as where the payment was received or any internal notes that may be helpful for tracking.
4. Choose to Upload Donation Documents
- Upload any supporting documents, such as a photo of the check or a receipt. This step is optional but helpful for your records.
5. Choose to Have a Tax Receipt Sent to Participant
When logging a payment, you’ll be asked whether the participant should receive a tax receipt:
- Select “Yes” if the payment is tax-deductible. The participant will automatically receive an email with their tax receipt.
- Select “No” if the payment is not tax-deductible. No receipt will be sent.
6. Choose if Participant Will Receive Public Recognition
- Select “Yes” to generate a public donation card for the participant. This card can include a custom photo - such as a logo or individual/family image.
- Select “No” if the participant should not be recognized publicly. Their donation will only appear within the Activity Log and visible to SeeMyLegacy admins.
7. Select Add
- The donation will be visible within the Activity Log.
